SYS VELOCITY LTD

Privacy policy

How we handle your information when you visit this website, request a resource or start a conversation with us.

Last updated:

1. Who we are

SYS VELOCITY LTD, trading as SYS Velocity, is the controller of personal information collected through this website. This means we decide how and why that information is used.

For privacy questions or requests, email info@sysvelocity.com.

This policy covers our website, resource requests and enquiries. Separate notices and terms may apply when you use a linked course, AI product, payment service or other external platform.

2. Information we collect

  • Enquiries: your name, email address, optional company name, chosen topic and the message you send. We also receive the page and button used to open the enquiry form, so we can understand its context.
  • Resource requests: your first name, email address, optional company name and the guide you request.
  • Correspondence: information you provide when communicating with us by email or following up on an enquiry.
  • Technical information: hosting and connected services may process your IP address, browser and device information, requested pages, request times and security or delivery logs.

Name and email fields are required to send a guide or respond to an enquiry. Company details are optional. Please avoid including sensitive personal information or confidential information about other people in a form.

3. How and why we use it

Under the EU General Data Protection Regulation (GDPR), we need a lawful basis for using personal information. Our purposes and bases are:

  • Responding to enquiries and arranging conversations: our legitimate interests in communicating with people interested in our business. Where you ask us to take steps towards a contract with you, we may also rely on those pre-contractual steps.
  • Delivering requested guides: our legitimate interests in fulfilling your request and providing the resource you selected.
  • Operating and protecting the website: our legitimate interests in maintaining a reliable service, preventing misuse and investigating technical problems.
  • Meeting legal requirements: compliance with a legal obligation where we must retain or disclose particular records.

A resource request does not subscribe you to marketing emails. Email open and link tracking are disabled for the resource and enquiry messages sent by this website.

We do not use website form submissions to make decisions based solely on automated processing that produce legal or similarly significant effects on you.

4. Who receives your information

We use service providers to run the website and manage communications:

  • Vercel: website hosting, request processing and security infrastructure.
  • Postmark: delivery of requested PDF guides and enquiry emails. This involves processing email addresses, message content, relevant form details and delivery records.
  • Our business email service: storage and handling of enquiries and subsequent correspondence.

Our team and service providers access information as needed for these purposes. We may also share relevant information with professional advisers or public authorities where necessary for legal obligations or legal claims. We do not sell your personal information.

When your browser loads third-party fonts or media, those providers also receive connection information, as described below.

5. International transfers

Some providers operate outside the European Economic Area (EEA), including in the United States. Personal information may therefore be processed outside the EEA.

For transfers requiring safeguards under GDPR, we rely on the applicable provider data-processing arrangements, including European Commission standard contractual clauses where applicable. These clauses require safeguards for transferred information. You can contact us for information about the safeguards relevant to your data.

Further information is available in the Vercel data processing addendum and Postmark EU privacy information.

6. How long we keep it

We keep personal information for as long as needed for the purpose for which it was collected. The period depends on whether your enquiry is ongoing, whether we enter a client relationship, and any legal, accounting or dispute-related requirements.

Enquiry correspondence may remain in our business mailbox while it is needed to handle your request, follow up on the conversation or maintain a related business record. Resource delivery content and activity records are held by Postmark according to the retention settings on our account. Hosting and security records follow the applicable provider settings.

The website also uses short-lived, in-memory records to limit repeated form submissions. These are separate from enquiry emails and provider delivery records.

You can ask us about the retention period for your information or request its deletion using the contact address below. Some records may need to be retained to meet legal obligations or handle legal claims.

7. Cookies, fonts and media

The website does not currently include advertising pixels or website analytics scripts. Hosting and security services may use technical information to deliver and protect the site.

Some pages load fonts from Google Fonts, a video player from Vimeo, or podcast audio hosted by external podcast services. Loading these resources connects your browser to the relevant provider and can disclose your IP address, browser information and request details. Depending on the service and your browser settings, third-party content may also use cookies or similar storage.

The Vimeo embed is configured with its Do Not Track option. This does not make the connection anonymous or prevent all technical data processing. Podcast audio is requested when you choose to play it.

You can manage cookies and storage through your browser settings, although blocking them may affect external media. For more details, see Google’s privacy policy, Vimeo’s privacy policy and Spotify’s privacy policy. Links to external websites are governed by those services’ own policies.

8. Your rights

Subject to the conditions and exceptions in data protection law, you can request access to your personal information, correction of inaccurate information, deletion, restriction of processing, or a portable copy where the right to data portability applies.

You can object to processing based on legitimate interests. If we rely on consent for any processing, you can withdraw that consent at any time without affecting the lawfulness of earlier processing.

Email info@sysvelocity.com to exercise your rights. We may need to verify your identity. We normally respond within one month; if a lawful extension is needed, we will explain this to you.

You can also complain to Ireland’s Data Protection Commission, or the supervisory authority in the EEA country where you live or work, or where you believe an infringement occurred.

9. Keeping information secure

We use HTTPS for website connections and take appropriate technical and organisational measures to protect information, including limiting access and using service providers for hosting and email delivery. Please contact us if you believe information sent to us has been misused or exposed.

10. Changes and contact

We may update this policy when our services or information-handling practices change. The date at the top identifies the latest version.

For questions about this policy or your information, contact SYS VELOCITY LTD at info@sysvelocity.com.
